Booking Policy

At BeingWood, we want your stay or event to be smooth and enjoyable. This Booking Policy explains how to reserve your place at our pop-up campsite or hire our venue, as well as your rights and responsibilities before and after making a booking.

1. Making a Booking

1.1 How to Book

Bookings can be made through:

  • You must be 18 or over to make a booking.

  • You may book for a group, but you are responsible for ensuring all members follow our policies and rules.

1.3 Information Required

To complete your booking, you will need to provide:

  • Full name and contact information

  • Dates of stay or event

  • Type of pitch (for camping) or venue hire package

  • Number of guests

  • Payment details

2. Payment Terms

  • Campsite bookings must be paid in full at the time of booking.

  • Venue hire bookings typically require a non-refundable deposit (e.g. 25–50%), with the balance due no later than 30 days before the event (unless otherwise agreed).

  • We accept payment by [card, Stripe, PayPal, bank transfer – edit as appropriate].

You’ll receive a booking confirmation by email once payment is received. Please check this carefully and contact us if anything is incorrect.

3. Cancellations and Changes

3.1 Cancelling Your Booking

We understand that plans change. Our cancellation terms are:

For Camping:

  • 14+ days before arrival: full refund, minus a £10 admin fee.

  • Less than 14 days: no refund unless we are able to rebook your pitch.

For Venue Hire:

  • 30+ days before your event: 50% refund.

  • Less than 30 days: no refund.

  • Deposits are non-refundable unless otherwise agreed in writing.

3.2 Changing Your Booking

We’ll do our best to accommodate date changes, but this is subject to availability. Fees may apply if changes are made close to your arrival/event date.

4. Cancellations by Us

We may cancel bookings in rare cases due to:

  • Unsafe weather conditions

  • Site closures or maintenance

  • Force majeure (natural disasters, government restrictions, etc.)

In such cases, we will offer you:

  • A full refund

  • Or the option to reschedule at no extra charge

We are not responsible for any other costs you may incur (e.g. travel, accommodation elsewhere).

5. Arrival & Departure

You will receive check-in and check-out times in your booking confirmation. Typical times are:

  • Camping check-in: from 2:00pm

  • Camping check-out: by 11:00am

  • Venue access times: as agreed in your hire package

If you expect to arrive late, please let us know in advance.

6. Group Bookings

If you're booking for a group (e.g. friends, a retreat, or a private hire event), one person must be the named lead booker. They are responsible for:

  • Ensuring payment is made on time

  • Providing accurate guest numbers

  • Ensuring all guests follow site rules and safety guidance

7. Special Requests

If you have accessibility requirements, dietary needs, or other special requests, please let us know at the time of booking. We’ll do our best to accommodate, but cannot guarantee all requests.

8. Privacy & Data Use

Your data is handled in accordance with our Privacy Policy. We only collect and store information needed to manage your booking and provide you with service-related updates.
